YOUR INFORMATION & YOUR CHOICES

Privacy Policy

Effective date: October 27, 2026

When you ask Coastline Insurance for help, your details are used to respond and manage your insurance request. This page explains what we receive, how Meta lead forms and Zoho CRM fit into that process, and how to contact us about your information.

Who we are and what this covers

Coastline Insurance Services, LLC (Coastline Insurance, we, us, or our) is an independent insurance agency serving California. This policy describes information handled through coastlineinsurance.co, our Facebook and Instagram lead forms and messages, quote inquiries, and related customer relationship management. It also explains how to contact us about privacy. Insurance carriers and other providers may give you separate privacy notices for their own services.

Information we collect

When you request information, we receive the details you choose to submit, such as your name, email address, telephone number, company name, primary trade, CSLB license number, coverage interests, and coverage or renewal timing. We may also receive your messages and the details of our follow-up conversations. Meta lead forms may prefill contact details from your profile; please review and correct them before submitting. Lead records may include the submission time, lead identifier, source form, and campaign or ad identifiers needed to route the inquiry and understand its source.

If you proceed with an insurance quote or policy, additional application, business, payroll, vehicle, property, coverage, and loss-history information may be needed. We will explain what is needed and how to provide it through an appropriate channel. Do not put Social Security numbers, payment information, medical details, driver's license images, or confidential employee records into a social-media lead form or an ordinary website message.

Where information comes from

Information comes directly from you, including website email inquiries, calls, emails, and social-media forms or messages. Meta provides us the information you submit through our Facebook or Instagram lead forms. During a quote or service request, we may also receive information from people you authorize and insurance carriers, wholesalers, or other providers involved in your request.

How we use information

We use inquiry information to respond, verify and clarify business details, understand insurance needs, explore coverage options, prepare or service quotes and policies, and keep records of our communications. We also use source and campaign details to evaluate which advertising produces useful insurance inquiries. We may use information to prevent misuse, resolve disputes, and meet applicable legal and recordkeeping obligations.

Submitting a lead form asks Coastline Insurance to follow up about that request. A privacy policy or form submission alone is not blanket permission for unrelated marketing, automated calls, or automated marketing texts. Where a separate consent or choice is required, it must be obtained separately. A quote request does not bind, change, or cancel insurance coverage.

Zoho CRM and LeadChain

We use Zoho CRM to organize prospects, contacts, insurance inquiries, and follow-up. When a Facebook or Instagram lead form is connected through Zoho LeadChain, the submitted answers and associated source information are transferred from Meta into our CRM. Authorized agency personnel can use these records to respond and manage the inquiry. Zoho processes the information as a technology service provider under its applicable terms and privacy practices. Data may be stored or processed by providers outside your state or country. You can review Zoho's privacy policy at https://www.zoho.com/privacy.html.

We are preparing Meta Conversions API reporting for our advertising. Once enabled, selected CRM milestones—such as an inquiry being qualified or becoming a customer—can be sent to Meta to measure ad results and improve delivery. Depending on the configured integration, event information may include a Meta lead identifier, event name and time, campaign source, and contact identifiers such as email address or telephone number. Contact identifiers may be hashed for matching; hashing does not make the information anonymous. We do not send application documents, medical information, payroll records, payment details, or other sensitive insurance information as advertising conversion events. Where required, we will obtain consent or provide an opt-out before this reporting is used. Contact us to request exclusion from optional CRM advertising measurement. This notice does not itself activate reporting or authorize automated marketing messages. Customer-list audience uploads are a separate feature and are not enabled by this policy update.

When information is disclosed

Information may be available to agency staff and producers handling your request, and to technology providers that support CRM, lead syncing, email, telephone, website hosting, and other agency operations. For a quote, application, policy, or service request, relevant details may be disclosed to insurance carriers, wholesalers, managing general agents, underwriters, and other parties involved in providing the requested insurance services. We may also disclose information as you direct, to meet legal requirements, protect rights or safety, address fraud, or in connection with a lawful business transfer subject to applicable protections.

Meta separately handles information when you use Facebook or Instagram under its own privacy policy at https://www.facebook.com/privacy/policy/. This policy explains Coastline's handling of information after it is provided to us; it does not replace Meta's or an insurer's privacy notice.

Website technology, cookies, and tracking

The website quote form currently prepares an email on your device. It does not submit or store the request on the website; you must send the email from your email app for us to receive it. The website uses externally hosted Google Fonts, so your browser may contact Google to obtain font files. The hosting provider and other technical providers may process information such as IP address, browser and device details, request time, and security or delivery logs.

We have not installed a Meta Pixel or other advertising or analytics tracking script on this website. Because our website does not implement cross-site advertising tracking, its behavior does not change in response to a browser Do Not Track signal. Third-party platforms reached through links or used to submit a lead form may use their own cookies and tracking technologies. Your choices there are managed through those platforms. Any material change to the website's tracking practices will be reflected here with appropriate choices where required.

Retention and protection

Information is retained as needed for the inquiry, quote or policy relationship, follow-up, and applicable business, insurance recordkeeping, legal, or dispute-resolution purposes. The appropriate period depends on the record and the relationship; submitting a request does not mean the record can always be deleted immediately. No internet transmission or storage system can be guaranteed completely secure. Please contact us for an appropriate method before sending sensitive documents.

Your choices and privacy requests

You can choose not to submit an inquiry and can correct prefilled information before submitting a Meta form. Contact kevin@coastlineinsurance.co or call (805) 870-5201 to ask about information we hold, request access, correction, or deletion, or ask us to stop optional marketing or further sales follow-up. We will review the request under the laws that apply and may need to verify your identity. Do not email identity documents unless we arrange an appropriate verification method. Some records or service communications may need to be retained or continued for an existing policy, legal requirement, or other permitted reason.

California residents can use the same contact methods to request information about applicable privacy rights and choices concerning disclosure of their personal information. The availability of a particular right depends on the applicable law and the type of information involved. To stop a marketing email, you can also use its unsubscribe option where provided. For a text program, follow the opt-out instructions in the message where available. Changes to Meta's own records and advertising preferences must be requested through Meta.

Children and changes to this policy

Our insurance inquiry services are intended for adults and are not directed to children under 13. If you believe a child submitted personal information, please contact us. We may update this policy as services and practices change. Updates will be posted on this page with a revised effective date; we will provide additional notice or obtain consent when required.
